PREPARING FOR THE POSITION OF PROJECT OFFICER – SPONSORSHIP (EDUCO, SATKHIRA)

1. RESEARCH THE ORGANISATION
a) Study Educo’s mission, vision, values and its 30‑year history of work in 18 countries.
b) Review the ChildFund Alliance website and the specific programmes Educo runs in Bangladesh, especially those funded by KOICA, EU/UNOPS, AECID, Mango and other donors.
c) Familiarise yourself with Educo’s Sponsorship strategy, child‑safeguarding policy, PPSEAH, anti‑fraud and corruption policy and the digital platform “EduKids”.
d) Identify recent news, annual reports, impact stories and success cases from the Satkhira project area.

2. MATCH YOUR PROFILE TO THE JOB REQUIREMENTS
a) Education – ensure your postgraduate degree in Social Science or a related field is clearly stated.
b) Language – demonstrate proficiency in both Bangla and English (intermediate or higher).
c) Experience – highlight at least 3‑4 years of relevant work in child‑rights, sponsorship or development NGOs, especially any exposure to data entry, database management and community‑volunteer coordination.
d) Skills – emphasise data‑entry accuracy, basic photography, facilitation, interpersonal and analytical abilities, gender‑sensitivity and a strong commitment to child safeguarding.

3. TAILOR YOUR CV AND COVER LETTER
a) Use a clean, professional layout; avoid decorative fonts or colours.
b) Place the three non‑relative referees prominently, listing the most recent supervisor, an HR/P&C contact and one additional professional reference.
c) Insert a recent passport‑size photograph as requested.
d) In the work‑experience section, map each previous role to the key tasks listed in the vacancy (e.g., “Managed sponsorship communication items”, “Updated child data in EduKids”, “Coordinated community volunteers”).
e) Quantify achievements (e.g., “Entered 1,200 child profiles with 99 % accuracy”, “Reduced dropout reporting lag from 30 days to 7 days”).

4. BUILD KNOWLEDGE ON CORE RESPONSIBILITIES
a) Sponsorship Communication – practice drafting authorization forms, admission letters and progress reports; understand the schedule of correspondence with sponsors.
b) EduKids Database – if possible, request a demo or watch tutorials; learn how to upload child profiles, photos, track migration, dropout and special incidents.
c) Community‑Volunteer Management – outline a simple training plan, supervision checklist and quality‑control process for volunteers collecting field data.
d) Reporting – review sample monitoring reports, case‑story formats and audit documentation used by NGOs.

5. PREPARE FOR THE INTERVIEW
a) Anticipate competency‑based questions:
- “Describe a time you ensured data quality under tight deadlines.”
- “How have you handled a safeguarding concern in the field?”
- “Explain how you would motivate community volunteers to collect accurate information.”
b) Prepare the STAR (Situation, Task, Action, Result) story for each key competency.
c) Be ready to discuss your understanding of Educo’s sponsorship model, donor requirements and how you would maintain sponsor‑child relationships.
d) Expect a practical exercise – possibly a short data‑entry task in a spreadsheet or a mock phone call with a sponsor.
e) Prepare thoughtful questions for the interviewers, such as:
- “What are the current challenges in maintaining sponsor‑child communication in Satkhira?”
- “How does Educo support staff in staying updated on child‑safeguarding standards?”

6. DEMONSTRATE CHILD SAFEGUARDING COMMITMENT
a) Review Educo’s Child Safeguarding Policy and be able to explain how you would apply it in daily activities.
b) Highlight any previous training or certifications in child protection, PPSEAH or related fields.
c) Emphasise your approach to “do no harm” and your willingness to undergo background checks and sign the Code of Conduct.

7. LOGISTICS AND FINAL CHECKS
a) Verify the application deadline (10 December 2025) and submit through the provided link before the cut‑off.
b) Double‑check that the CV includes the photo, three referees and no typographical errors.
c) Keep a copy of the submitted application and a receipt of submission.
d) Prepare a folder (physical or digital) with all supporting documents: certificates, training records, reference letters, and any relevant work samples (e.g., anonymised reports or data‑entry screenshots).

8. POST‑APPLICATION FOLLOW‑UP
a) Mark your calendar for a follow‑up email 5‑7 days after the deadline, politely confirming receipt of your application and expressing continued interest.
b) Remain reachable on your phone and email; ensure voicemail and inbox are professional.

9. PERSONAL PREPARATION
a) Arrange a quiet, well‑lit space for the interview (if virtual) with a stable internet connection.
b) Dress in business‑casual attire that conveys professionalism and respect for the NGO environment.
c) Get adequate rest the night before, and have a glass of water handy during the interview.

10. CHECKLIST BEFORE SUBMITTING
- CV with postgraduate details, language proficiency, experience aligned to tasks.
- Passport‑size photograph attached.
- Three non‑relative referees listed (current supervisor, HR/P&C contact, other professional).
- Cover letter referencing Educo’s values and the specific role.
- Confirmation that all required documents are in PDF format and within file‑size limits.
- Submission made through the official link before 23:59 BDT on 10 December 2025.

By following these steps you will present a focused, well‑aligned application and be prepared to demonstrate the knowledge, skills and commitment Educo expects from its Project Officer – Sponsorship. Good luck!
